1. Keep Business and Personal Money Separate

Use a separate bank account for your business and only pay business costs from that account. Personal costs are personal and should be paid out of a personal bank account.

This one step saves a lot of time. It makes your records cleaner. It also makes it easier to claim the right GST credits on your BAS.

2. Reconcile Your Bank Feeds Often

Your bank feed shows every dollar that comes in and goes out. Reconciling means matching each transaction to the right account.


Try to do this weekly. Small batches are quick and easy. A three-month backlog is not.
Regular reconciling helps you spot errors, missed payments and odd charges early. It also shows you how much cash you really have.

3. Store Your Receipts Digitally

Paper receipts fade and get lost. A photo on your phone lasts.

Most accounting software lets you snap a receipt and attach it to a transaction. Do it when you pay, not weeks later.

Good records support your GST claims. The ATO generally expects you to keep business records for five years. Digital storage makes that simple.

4. Stay on Top of Payroll and Super

If you have staff, payroll is one of your most important jobs. Wages, super and Single Touch Payroll reporting all need to be right and on time.

This matters for seasonal workers on farms, casual staff in hospitality and shift workers in cleaning. Rosters change often. Your payroll records need to keep up.

Payday Super started on 1 July 2026. Employers now need to make sure super reaches their employees’ funds within seven days of each payday, not once a quarter. Regular bookkeeping habits make this much easier.

5. Make Key Dates Part of Your Bookkeeping Habits

Missing a lodgment date can lead to penalties and stress. Put your BAS due dates and other key ATO dates in your calendar. Set a reminder one or two weeks before each one.

Your industry may have its own key dates too. Not-for-profit groups often have grant reports and acquittals to lodge. Farmers may need to plan around harvest or sale season. Add these to your calendar as well.
